The chapters in this section tell you what you need to
know to begin using CMS.
- Chapter 1.1, Installing CMS. Follow the instructions
to install CMS on your computer's hard disk.
- Chapter 1.2, Beginning to use CMS. Read this chapter
to find out how to start CMS and set up your first CMS
family. You'll also learn about using CMS's menus and
about correcting mistakes.
NOTE: Mail us your CMS registration now, before you read
further. Registering is your link to the active and
enthusiastic community of CMS users. We are constantly
learning from our users, and we pass that knowledge on
to you in new versions and products. If you fail to
register your software, you may miss out on the benefits
of this CMS network. We won't be able to notify you of
new versions or send you tips gathered by our Technical
Support group. See chapter 1.16 "Registering as a CMS
User" for details.

This chapter tells you what you need to do before
starting work with CMS. Don't skip the installation
step; you should run CMS using copies of the CMS
disks, not the original CMS disks.
When you have finished with this chapter, you will
be ready to start CMS and set up your first family.
1.11 What You Need
===================================================
To use CMS, you need the following equipment and
supplies:
- IBM PC, XT, AT, PS/2, or 100% compatible computer
- 640K minimum memory
- 80-column monochrome or color monitor
- DOS 3.0 or later
- The CMS Program disk
- A hard disk to install CMS and store data
- Most any printer
- Printer paper and (optional) Mailing Labels
NOTE: Don't worry if this list seems daunting. CMS
will probably work on your system anyway. Just try
it out, or give us a call if you have problems. In
any case, CMS will not cause any damage to your
hardware or software in any way.

To prepare for the use of CMS, you need to set up
your equipment:
- Set up your computer
- Connect your printer to the computer
- Insert paper into your printer and turn the
printer on
Now you are ready to install CMS.
1.13 Installing CMS on a Hard Disk
===================================================
Before you use CMS, you need to install it. If
your installed copy is ever damaged or destroyed,
you can use the original CMS program 3 1/2-inch
disk or 5 1/4-inch disk to reinstall it. If you
want to know what the Install program does, see the
chapter "What the Installation Procedure Does".
NOTE: Your existing data files are NOT affected in
any way by this installation procedure.
To install CMS:
A. Start your computer and stay in the root
directory of your hard disk. The DOS prompt
is probably C:> or D:>, depending on the
letter of your hard disk drive.
B. Insert the CMS program disk in drive A.
C. Type A:INSTALL and press <Enter>.
If necessary, you can install from drive B.
Put the disk in drive B and type B:INSTALL.
Always type the name of the drive (A: or B:)
where you have put the CMS program disk.

D. Follow the instructions that the Install
program displays on your screen, if any
appear.
CMS installs itself automatically. Messages
appear on the screen to let you know about the
progress of the installation, or when you need
to do something. When installation is complete
CMS will load automatically.
NOTE: By default, the Install program uses the
\CMSG20 directory on your hard disk. If
currently you are a user of a previous
version of CMS, we recommend that you
allow the program to install this new
CMS software into the same directory,
where the previous version resided.
NOTE to previous CMS users: Your old CMS
program files will be renamed, so as not
to be confused with the new CMS program
files. YOUR EXISTING CMS DATA FILES ARE
NOT AFFECTED IN ANY WAY BY INSTALLATION.
The new CMS will copy the data from your
existing data files and convert it into
new data files with different file names.
See the chapter "What the Installation
Procedure Does".
E. Put your original CMS disks away in a safe
place. Do not use your original CMS disks to
run the program.
You are now ready to start CMS. See chapter
1.15 "Starting CMS" for details.

The Install program automatically sets up your
computer so you can use CMS most conveniently.
Install does the following:
- It modifies or creates a file called
CONFIG.SYS to set BUFFERS=16 and FILES=60,
if these parameters haven't already been set
or have been set to lower values. If you
use other programs that set these parameters
to higher or lower values, don't worry.
Install does not lower the buffer and file
settings if they are already set. If another
program sets these at lower values, that
program will run with CMS's higher values.
- It creates a directory called \CMSG20 and
copies CMS and all other necessary files
into that directory. If you have had a
previously installed version of CMS, the
Install program renames your existing CMS
program files using the "OLD" prefix, e.g.
CMS.EXE becomes OLDCMS.EXE.
- If CMS data files already exist in this
directory it prompts you to convert all
existing data files. YOUR EXISTING DATA
FILES ARE NOT AFFECTED IN ANY WAY BY THIS
CONVERSION. You need to keep your CMS data
files in the same directory as the CMS
program files.
Exceptions: The conversion will not auto-
matically convert the following:
- Shepherd's data file: All the Shepherd
information will need to be entered again in
the new CMS system.

- Departments: All the department information
will no longer be necessary in the new CMS
system.
NOTE: If you ever need to reinstall CMS, just
follow these same installation
instructions again. REINSTALLATION WILL
NOT HARM ANY DATA ON YOUR HARD DISK.
1.15 Starting CMS
===================================================
To test that you have installed correctly, start
CMS:
A. Use the correct drive for running CMS as
follows:
Change to the drive that contains CMS (probably
drive C) by typing C: and pressing <Enter>.
B. To start CMS, type CMS and press <Enter>.
C. The first time you start CMS, it will check
to see what kind of monitor you are using. If
CMS is unable to determine the monitor type,
you may be asked to indicate whether you have a
color or monochrome monitor.
If you are asked "Do you have a Color monitor?
[Y/N]" type <Y> if your monitor is capable of
showing several different colors (for example,
red, green, blue). Type <N> if your monitor
displays only shades of one color (such as
amber or green).

D. Every time CMS starts, it will check if your
computer's internal clock is set. If set
correctly this clock keeps track of the current
date and time. If your computer does not have
an internal clock or if the clock setting seems
out of date (any date prior to June 1st, 1991)
CMS will prompt you to correct the date and
time. An accurate date and time will help CMS
to work better and always generate up-to-date
reports.
If C M S finds the computer's clock to be
inaccurate this message will appear on your
screen:

Press <End> to advance the year or press
<Home> to select a previous year.
2. To change the month:
Press <PgDn> to advance to the next month or
press <PgUp> to select a previous month.
3. To change the current day:
Use the cursor keys to select the proper day.
4. Press <Enter> when you are done.

The correct time needs to be entered in
"International Standard Time" format, also
called "24 hour" format, or "Military Time".
You just need to enter the numbers and not
the colons (:) in between.
6. Type in the correct time.
Don't worry if you don't get it right the
first time and you get a message like this:

7. Press <Y> or <Enter> to confirm this new
time setting.
If you press <N> instead you will be given
the opportunity to type in a different time.
After the new date and time selection CMS
will now open all data files and indexes or
create them if needed.
E. UNREGISTERED CMS USERS ONLY: If this version
of CMS has not yet been registered with
Mills & Associates, the Registration screen
will appear. To register CMS see the next
chapter "Registration of Your CMS Software"
for details.
You are now ready to begin using CMS. See
the chapter 1.2 "Begin Using CMS " for
details.
1.16 Registration of Your CMS Software
===================================================
If you bought CMS directly from Mills &
Associates at the full price of $ 189.00 your
software is the latest and complete version of
CMS. It is already registered and you can
proceed to the next chapter "Exiting from CMS".
If you bought an evaluation copy of CMS or
acquired CMS through shareware channels, e.g.
from a bulletin board, you may want to test
this software before you purchase it. If you
decide that CMS is useful and you want to
continue using it you are required to purchase
a registered copy of CMS from Mills &
Associates.
After installation of an unregistered copy of
CMS is complete you will see the registration
screen. It looks like the sample below:

A. Anywhere in the program, press <Esc> until you see
the Main Menu.
B. Press <Q> and <Enter>.
CMS saves your data as you work. When exiting CMS all
data files and indexes will be safely closed.
IMPORTANT:
Always exit CMS from the Main Menu. Do not
shut off the power on your computer without
exiting CMS.
If you leave CMS without selecting Quit at
the Main Menu (for example, if you turn off
the computer before exiting or if the
electricity fails), the program has no
opportunity to save all the files it needs.
Your data will be safe, but the next time
you start CMS, the program might have to
rebuild some index files. The rebuild takes
a few minutes.

Chapter 1.2 explains how to start CMS, use CMS's menus,
and set up your first CMS family so you can start adding
members and generate reports.
1.21 Definitions
========================================================
In CMS, the term "Family" refers to one or Church
members grouped together under a family name. This
does not mean however that all members of a family
have to have the same last name, e.g. a daughter
whose maiden name changes from Smith to Jones can
still belong to the Smith family as a member, and
her husband may be added to that family as well.
This new feature in CMS will make it easier to
track your members and will help avoid such
nuisances as multiple copies of mail going to the
same address, when that is not desirable.
In CMS, the term "Member" refers to a person that
is part of a family. All members have to be part of
a family as described above, and there are no
exceptions.
In CMS, the term "Shepherd" refers to a member of
the Church who sponsors a family and its members.
He or she is looking out for the well being of the
family members they are shepherding, and is the
main contact to that family. Shepherds may sponsor
more than one family.

Before you start CMS, be sure to install it (See
chapter 1.1 "Installing CMS" for more details).
This section tells how to start CMS in the easiest
and most usual way.
A. Turn on your computer if it is not already on.
B. When you see the C> prompt (assuming your hard
disk is drive C), type cd\CMS and press <Enter>.
C. When you see the C:\CMS> prompt, type CMS and
press <Enter>.
If this copy of CMS is an unregistered copy, the
CMS system will display the Registration screen.
Refer to the chapter "Registration of Your CMS
Software" for information on properly registering
your CMS program.
D. CMS will now set up all its data and index files,
and then present the Main Menu.

The Main Menu lists CMS's main features. You start
using CMS by selecting the feature you want.

Select a feature in either of these ways:
- Use the <Up-Arrow> key or the <Down-Arrow> key
to highlight the item you want. Then press
<Enter>.
OR
- Type the first letter of the activity you want to
use. Then press <Enter>.
Notice how the help line at the bottom of the
screen changes as you move from item to item. It
explains in more detail the selected feature.
1.24 Main Menu Features
========================================================
Here is a brief summary of each item on the Main
Menu. You will find detailed information on these
menu items in the chapters that follow.
- Documentation. Use this feature to view this
User's Manual on your screen, or print it out on
your printer. Here you also can print out a
software registration form as needed.
- Family Processing. Use this feature to do all
your family processing. You can add new families,
edit or delete existing families, change their
mailing addresses, assign their shepherds, or
generate reports.
- Member Processing. Use this feature to do all your
member processing. You can add new members to a
family, or edit or delete members.
You can assign membership to organizations or
Special Interest groups (SIGS).

You can enter member birthdays, wedding
anniversaries and other relevant dates you may
like to track.
You can also generate various reports for
individual members or all members.
- Groups Menu. Use this feature to setup and work
with Church organizations and special interest
groups (SIGS).
Here you also define what standard dates you would
like to track for each member, and maintain
attendance records (e.g. for Bible class). Use
this feature also to maintain your shepherds data
file.
- Stewardship Processing. Here you track the
financial contributions and pledges, do all your
contribution statements processing, and maintain
your Giving Year assignments.
Add or modify a scripture message to appear on
your contribution statements, and maintain your
Church funds.
All Stewardship Processing features are password
protected.
- Print Reports. Use this feature to generate
various reports on families, all the members, or
individual members. You can also obtain a Church
status list, or generate a Church directory.
All reports may be viewed on the screen, sent to
a file, or printed out on your printer.
- Utilities Menu. Use this feature to access
special utilities (a calendar and a file
directory),

You can re-index your CMS files, or permanently
remove records marked for deletion.
Here you can also set or modify your password and
obtain information about your computer's current
hardware and memory configuration.
- Quit to DOS. Use this feature to close all files
and exit the CMS software to DOS.
If you leave CMS without selecting Quit (for
example, if you turn off the computer before
exiting or if the electricity fails), the program
has no opportunity to save all the files it needs.
Your data will be safe, but the next time you
start CMS, the program may have to rebuild some
index files. The rebuild takes a few minutes.
1.25 Using CMS Menus
========================================================
There are three types of menus in CMS listing the
features, options, and choices that you will use.
- "Feature" menus are pull-down menus appearing on
the left side of the screen (e.g. the "Main"
menu). They provide you with a list of major
activities to choose from. Use the <Up> and
<Down> cursor keys to move from feature to
feature, or type the letter of the activity you
want to choose.
- "Option "menus are function key menus appearing at
the bottom of the screen from left to right (e.g.
Family Processing). They provide you with a list
of activities specific to the information table
displayed on the screen (table specific). To
select an option press the appropriate key on your
keyboard.

- "Choice" menus are pull-down menus appearing on the
right side of the screen. They provide you with a
list of activities specific to the record at the
cursor position (record specific). Use the <Up>
and <Down> cursor keys to move from feature to
feature, or type the letter of the activity you
want to choose.
1.26 Correcting Mistakes
========================================================
It's easy to correct typing mistakes anywhere in
CMS, whether you are typing information in a window,
entering new families or members, or reviewing
information entered earlier.
Use the <Up-Arrow> or <Shift-Tab> keys to move
backwards from a blank to a previous blank. Use the
<Down-Arrow>, or <Tab>, or <Enter> keys to move
forward from a blank to the next blank.
Use the <Left-Arrow> and <Right-Arrow> keys to move
within a blank.
Use these keys to position the cursor under the
first character you want to change. Then make the
correction by replacing, deleting, or inserting
characters:
REPLACE CHARACTERS. Simply type new characters over
the characters you want to replace.
DELETE CHARACTERS. You can delete characters in
five ways:
- Press the <Space-Bar> to replace the character
above the cursor with a space.
- Press <Del> (the Delete key) to delete the
character at the cursor position. Any remaining
characters on the line shift over to the left.

- Press <Backspace> to delete the character to the
left of the cursor. Any remaining characters on
the line shift over to the left.
- Press <Ctrl-T> to delete all characters on and to
the right of the cursor.
- Press <Ctrl-Y> to delete all characters in that
blank.
INSERT CHARACTERS. Move the cursor to the place
where you want to begin inserting. Press <Ins> (the
insert key). The cursor changes from a blinking
line to a blinking rectangle. Type the characters
you want to insert. The existing characters will
move over to make room for the new characters.
Press <Ins> again to stop inserting.

"Useful Keys" below.

? The Options menu Help key. If you
are unsure of what to do with any
of the available options press <?>.
Instructions or concise information
will appear in a window. Some Help
messages may be too long to fit in
the window. If this is the case,
press <PgDn> or <PgUp> as needed to
see the entire message. Press
<Esc> to exit Help.
Esc The <Esc> key lets you stop what
you are doing and return to the
previous activity, window or menu.
Cursor Use the <Up-Arrow>, <Down-Arrow>,
<Left-Arrow>, and <Right-Arrow>
keys to highlight
Feature-and Choice-Menu items, and
to move the cursor. Each time you
press an arrow key, the highlight
bar or the cursor moves one line or
space in the direction the arrow
points.
Enter Use the <Enter> key to move the
cursor from one blank to another as
you type information. Also use it
to tell CMS that it's OK to
continue, for example, when you
select from Feature or Choice
Menus.
Space-Bar Use the <Space-Bar> to delete
characters on a blank, or press it
to tag all the desired items in a
picklist for further processing.

F2 This key is used to bring up pick
lists in C M S wherever it is
feasible. For example if you at a
date blank you can just press the
<F2> key to bring up a calendar to
pick the desired date.
Home or Ctrl-A Use the <Home> or <Ctrl-A> key to
position the cursor at the
beginning of a blank.
End Use the <End> key to position the
cursor after the last typed
character in that blank.
Ctrl-F Use the <Ctrl-F> to position the
cursor on the last typed character
in a blank.

In CMS there is plenty of help available in one way
or another.
If you are at a "Features" menu, e.g. the "Main"
menu, notice the help line on at the bottom of your
screen. As you move with your cursor keys from one
feature to the next one the help line is updated to
explain the current feature selection.
If you need more extensive help while at a
"Features" menu, press <F1> to obtain detailed
information about the selected feature. The help
you get here is very detailed, and when printed out
becomes the manual for CMS.
If you are at an "Options" menu, e.g. Family
Processing, help is available by pressing the <?>
key.
If you really want extensive help, and you prefer
to look at a manual, then refer to the CMS
Documentation. See chapter 2.2 "Print the CMS
Manual" for details on producing your own CMS
reference handbook.
If you need Technical Support or would like to
communicate to the author of CMS, you can now reach
us via CompuServe.
To reach us on CompuServe do the following:
A. If you never used CompuServe before, or don't
have a valid access code you first need to
establish an access code with CompuServe. To do
that call 800-555-1212 directory assistance and
obtain the CompuServe toll free 800 number for
your calling area. CompuServe will set up an
account for you with a password to log on. You
will be billed for your connect charges on a
credit card of your choice. Once you have a
valid CompuServe access identification number
and password, you can log on to this electronic
communication service via your modem and a
telephone line.
